Privacy Notice

MyJudo is provided by Hajime Judo Ltd. We are the data controller for personal data about the people who register clubs and subscribe to MyJudo. For data a club enters about its own students, parents and coaches, the club is the controller and we process it on the club's behalf.

What we collect and why

• Account details (name, email, phone, password) — to create and secure your account (contract).
• Club data (students' names, dates of birth, grades, attendance, guardian contacts, coach notes) — to provide the service to the club (contract / the club's legitimate interests).
• Support messages — to help you (legitimate interests).
• Usage and device data (IP address, browser, pages used) — for security, fraud prevention and improving the service (legitimate interests).
• Emails such as portal invites — sent on the club's instruction; you can unsubscribe from non-essential emails.

Who we share it with

• Service providers who host and run the app and send email for us.
• Paddle, our Merchant of Record, for the sale of subscriptions, payments, tax compliance and invoicing.
• Professional advisers (legal, accounting) where needed.
• Authorities where the law requires it.

Some providers may process data outside the UK. Where they do, we rely on adequacy decisions or standard contractual clauses to protect it.

How long we keep it

We keep data while the club's account is active. If a club leaves, we delete or anonymise its data within 90 days unless the law requires us to keep it longer (for example financial records).

Your rights

Under UK GDPR you can ask to access, correct, delete, restrict or move your data, object to processing, and withdraw consent. We respond within one month. Parents and students should usually contact their club first. You can also complain to the Information Commissioner's Office (ico.org.uk).

Security

Data is encrypted in transit, access is restricted so each club only ever sees its own data, and we use appropriate technical and organisational measures to protect it.

Cookies

We only use essential cookies and local storage needed to keep you signed in. We don't use advertising cookies.
